Field checklist for a clean BOL. Requirements can vary by shipper/broker—follow their instructions if they conflict with general guidance.

Required details

  • Shipper, consignee, pickup/delivery addresses and contacts
  • PO/PRO/load/reference numbers
  • Pieces, description of goods, weight, dimensions (if requested)
  • NMFC/item numbers/class (if required)
  • Freight terms (collect/prepaid/third party) as instructed

At pickup/delivery

  • Verify counts against the tender
  • Document exceptions clearly (shortage/damage) with notes
  • Get signatures from authorized parties
  • Record names, dates, times

Paper trail

Keep consistent references across BOL, POD, rate confirmation, and invoice. Merge related docs if needed, and sign where required.
